Event Planner Needed In Canada By Cupids Legacy Centre
We are seeking an experienced and detail-oriented Event Planner to join our team. The Event Planner will be responsible for coordinating and organizing a wide range of events, including conferences, weddings, corporate functions, and social gatherings. This role requires exceptional organizational skills, excellent communication and negotiation abilities, and a strong creative vision. The Event Planner will work closely with clients, vendors, and the event team to ensure that each event is executed flawlessly and meets or exceeds client expectations.

Responsibilities:
- Collaborate with clients to understand their event objectives, budget, and preferences.
- Conduct research and provide recommendations on event venues, vendors, and suppliers.
- Negotiate contracts with venues, caterers, entertainment providers, and other event-related services.
- Develop detailed event plans, including timelines, budgets, and resource allocation.
- Coordinate and oversee all aspects of event logistics, including setup, audiovisual requirements, seating arrangements, and transportation
- Manage event budgets and track expenses to ensure adherence to client’s financial requirements.
- Liaise with clients and provide regular updates on event progress, address any concerns, and obtain necessary approvals.
- Coordinate with internal and external teams to ensure seamless execution of events.
- Manage event registration, ticketing, and guest list management, if applicable.
- Oversee event decor and design, including selecting themes, color schemes, and coordinating with vendors
- Handle on-site event management, troubleshooting issues, and ensuring a smooth event experience.
- Conduct post-event evaluations and gather feedback from clients and attendees to identify areas for improvement.
- Stay updated on industry trends, event technologies, and best practices to enhance event planning and execution
Qualifications:
- Proven experience as an Event Planner or in a similar role.
- Strong organizational and time management skills, with the ability to handle multiple projects simultaneously.
- Excellent communication and interpersonal skills, with the ability to build and maintain relationships with clients, vendors, and team members.
- Creative thinking and attention to detail to design and execute unique and memorable events.
- Proficient in event planning software, project management tools, and Microsoft Office Suite.
- Budgeting and financial management skills to ensure events stay within allocated budgets.
- Ability to work under pressure and meet tight deadlines while maintaining a high level of professionalism.
- Knowledge of event-related regulations and permits.
- Flexibility to work evenings, weekends, and travel as required by event schedules.
- Degree or certification in event planning, hospitality management, or a related field is preferred.
- Co-ordinate and monitor conference and meeting activities and attend to related details
- Co-ordinate set-ups, staging, seating, parking, communication systems and other details for special events
- Set up and monitor, or arrange for the setting up and monitoring of multi-media equipment
